A product specification is one of the most important documents in the sourcing process.
It tells the factory what to manufacture, which materials to use, what dimensions to follow, how the product should look, and what quality standards are expected.
When that specification is unclear or incomplete, the factory has to make assumptions.
Those assumptions can lead to unexpected pricing, inconsistent samples, production delays, quality problems, and disputes.
For importers sourcing from China, an ambiguous product specification can create problems long before mass production begins.

1. Factories Start Making Their Own Assumptions
If the buyer does not provide enough detail, the factory will usually fill in the missing information based on its own standard.
For example, a buyer may simply request:
“Stainless steel bottle with premium packaging.”
But important questions remain unanswered:
- Which stainless steel grade?
- What capacity?
- What wall thickness?
- What finish?
- What lid material?
- What packaging size?
- What printing method?
- What quality level?
Different factories may interpret the same request differently.
This means each supplier may be quoting a slightly different product.
2. Supplier Quotations Become Difficult to Compare
One of the biggest problems with unclear specifications is inconsistent quotations.
Suppose three suppliers receive the same vague inquiry.
Supplier A may quote a basic version.
Supplier B may assume higher-quality materials.
Supplier C may include stronger packaging and additional finishing.
The prices may be very different, but the buyer may assume the difference is simply because one factory is more expensive.
In reality, the factories may not be quoting the same product at all.
Professional supplier comparison only works when every supplier receives the same detailed requirements.
3. Samples May Look Different From What You Expected
A factory sample is usually built according to the instructions provided.
If those instructions are vague, the sample may technically be correct from the supplier’s perspective but still fail to match the buyer’s expectations.
For example, a buyer may ask for a “soft fabric.”
The factory chooses one type of fabric.
The buyer receives the sample and says:
“This is not soft enough.”
The supplier may respond that no exact fabric weight, composition, texture, or reference sample was provided.
This creates unnecessary revision cycles.
Clear specifications reduce this type of misunderstanding.
4. Production Costs Can Change Later
Ambiguous specifications can also create unexpected price increases.
A factory may initially quote based on its standard product.
Later, the buyer clarifies that they require:
- Thicker material
- Better finishing
- Custom packaging
- Stronger components
- Higher-grade raw material
- Additional accessories
The factory may then increase the quotation.
From the buyer’s perspective, it may feel like the supplier changed the price.
From the supplier’s perspective, the product itself changed.
The more accurate the specification is before quotation, the more reliable the initial pricing becomes.
5. Quality Becomes Difficult to Define
Quality is difficult to control when there is no measurable standard.
Terms such as:
- High quality
- Strong
- Premium
- Durable
- Heavy duty
- Good finishing
are subjective.
A buyer and factory may have very different ideas about what these words mean.
Instead of saying:
“Use strong plastic.”
A better specification might define:
Material: ABS
Wall Thickness: 2.5 mm
Net Weight: 450 g
Finish: Matte
Color: Pantone reference
Performance Requirement: Must support the agreed load without visible deformation
The more measurable the requirement, the easier it becomes to control production quality.
6. Production Delays Become More Likely
Unclear specifications often create repeated questions during production.
Factories may need confirmation about:
- Colors
- Dimensions
- Packaging
- Printing
- Accessories
- Components
- Labels
Every unanswered question can slow down the production process.
